Transaction type

The Transaction Types directory is intended to store all types of transactions that can be used in a trading company to manage sales processes. It is possible to add any number of types of transactions in the program.
For each type of transaction, a transaction type is selected, according to which the sales processes that can be registered within the boundaries of this transaction are determined. The program has the ability to apply these types of transactions.

* Other non-process transactions. Transactions are not managed, a list of steps for such a transaction is not compiled, it is prohibited to track which step a transaction is located at, it is only permissible to manage transaction statuses.
Such a transaction has the ability to simply serve as a kind of folder for storing all documents registered within the boundaries of the transaction, interactions regarding the transaction, the environment of the transaction, etc. This type of deal is typically used for long-term projects.
* Transactions with manual transition by stages. The list of sales process steps is registered by the user, and it is possible to manage the progress through the stages of the sales process “by hand,” indicating each time to which stage the work with the deal has moved
* Typical sale. The transaction type is specified by the name of the business process by which it is managed. The transition through the stages is strictly specified by the logic of the Typical Sale business process, which is included in the delivery.

Information about the type of transaction is added during the execution of a newly created transaction with the customer. In accordance with the given transaction type (or rather, in accordance with the transaction type that is defined for this type), sales processes will be managed within the boundaries of the executed transaction.

Note. Business mechanism A typical sale is an example of a business process. If necessary, you can add other business processes to the configuration. Editing and introducing new business processes can be performed in the configuration option only by specialists with the required qualifications.

Advice. Transactions that specify sales steps are used during the formation of a sales funnel. The use of transactions of these types makes it possible to control work with the customer at a preliminary stage (before registering documents) and determine the effectiveness of managers. For example, how many clients contacted the company and how many of them the manager was unable to bring to the point of registering a real sale. What type of transaction must be specified if the sales mechanism for transactions of this type is not controlled?

In the Transaction Type field, leave the content that was set by default when filling out a newly created transaction - Other non-process transactions.

This type of transaction is used for those transactions for which the sales mechanism is carried out randomly, without breaking down and monitoring each sales step. For transactions of this type, you will be able to control the list of documents registered within the boundaries of the transaction, analyze the effectiveness of the transaction, but you will not be able to control and manage the sales process within the boundaries of the transaction.

What type of transaction must be specified if the sales process for the transaction is managed manually?

* In the Transaction Type field, specify Transactions with manual transition by stages.
* On the Process Steps page, fill in the list of steps by which you want to control sales processes. When filling out the list, information from the Sales Process Steps reference book is used. This directory stores a list of predefined steps; if necessary, any other steps can be added to this list.

The way the steps are followed is determined by the order specified in the Sales Process Steps reference book. The transition between stages is done manually. At the same time, there is no need to follow a strict sequence of steps; any step can be skipped.

What type of transaction must be determined if the sales mechanism for the transaction must be strictly regulated in accordance with the business process?

The transaction type specifies the business mechanism that manages the sales process for the transaction. As an example of the transaction management business process, the program implements the “Typical Sale” business mechanism.

After defining a business process in the transaction type, a list of steps is automatically entered in the “Process Steps” panel in accordance with the stages of the business process; it is prohibited to edit this list of process steps. The transaction management mechanism is carried out in strict accordance with the specified stages with automatic generation of tasks for users (if this is provided for by the business process).

In what case is it necessary to set the Application allowed attribute?

The attribute Application allowed is determined for those types of transactions that can be used to create new transactions. If the attribute is not set, then it will be impossible to create new transactions of this type.
The content of the attribute can be edited at any time.

Example. The trading company has developed a new business sales mechanism, which is required to replace the old business sales mechanism. For a transaction type that uses the old sales mechanism, the Apply sales attribute is removed. A new transaction type is added with the task of a new sales business process. At the same time, those transactions that were registered within the boundaries of the transaction type with the task of the old business process are managed by the old business process, and new transactions are registered using the new sales business process.

Is it permissible to add detailed instructions to the type of transaction?

Detailed instructions can be developed as an external file and attached to a private transaction view. At the same time, the standard algorithm for working with files is applied.

* In the transaction type form, in the form navigation panel, select the Attached files item.
* In the list that appears, click on the Add button.
* From the list of files, indicate the desired file on the disk in which the instructions are stored.
* In the file card that appears, in the Description field, write the name of the file.
* Click on the Commit and Close button.
* Instructions will be added to the list of files.
* The information in this file can be changed using the capabilities of working with files that 1C:Enterprise provides.

In what case is it necessary to set the Record primary interest attribute?

The Record primary interest attribute is determined for those types of transactions in which it is necessary to specify information about the goods that the client wants to purchase and subsequently note the degree of satisfaction of the client’s primary demand. This will allow you to analyze the list of those products that customers most often ask for and analyze why the client’s primary demand was not satisfied.

When you set this flag in a transaction of a given type, the Primary Interest auxiliary page will be displayed, on which information about the client’s primary demand (product name, expected sale amount) is filled in.

Note. The Fix primary interest as a transaction attribute can be set only when the Fix primary demand checkbox is selected in the Administration/Sales section.

In what situations is it necessary to set the indicator for maintaining separate accounting of goods for a transaction?

The attribute Separate accounting of goods for a transaction is determined in those situations where it is necessary to take into account the cost of inventory and profit separately for each specific transaction. This content will be used as default content when completing a specific transaction of this type.

Note. The Separate accounting of goods per transaction as a transaction attribute can be set only if the Separate accounting and By transactions checkboxes are selected in the Administration/Finance section.

This functionality allows you to reflect multi-stage sales in the program (for example, participation in a tender), create a sales funnel, and also register additional. costs for specific sales transactions (not included in the cost of goods sold).

We are not interested in other non-process transactions (since there are no stages there). A typical sale is a type of transaction with a fixed number of stages (they cannot be changed, the transition between stages is automatic). We will focus on the option with manual transition between stages:

We indicate the use of this type; to simplify the task, we do not set the need for recording primary demand (storing information about those goods that the client wanted to purchase in comparison with those goods that the client purchased) and separate accounting of goods for the transaction (separate accounting of cost and profit for each transaction of this type):

Gives an idea of ​​the functionality of transactions with clients in the 1C: Trade Management 8 configuration (rev. 11.3) and the types of transactions used. Let’s take a closer look at the simplest option – a non-process transaction.

Non-process transactions in 1C do not allow you to record the stages of the transaction; for them, only information about the client and the product is available, as well as about the results of the transaction - whether it was won or lost.

Creating a transaction type

In order for transaction registration to be possible, information about the type of transactions must be entered into the program. Let's open the directory of types of transactions.

Let's create a new view and specify the details:

  • name – for our example “Sale of hoverboards (small wholesale)”,
  • transaction type – “Other non-process transactions”,
  • check the “Use allowed” flag,
  • for our example, we will also check the “Fix primary demand” flag.

Enabling the “Fix primary demand” attribute allows you to enter information about the client’s primary need for goods when concluding a transaction, and subsequently record the percentage of client satisfaction and the reasons for dissatisfaction.

In the “Description” field, you can enter a custom text description of the transaction type.

Registration of a transaction

Once the transaction type has been entered into the program, you can register the transaction itself.

Let's say we have a potential client who wants to buy 10 hoverboards. Let's register the start of work on a deal with him. Let's go to the deals directory and create a new deal.

Let's select a client, there is also the option to select an agreement (if the deal is won, the sales documents will be executed in accordance with this agreement).

On the “General Information” tab we indicate:

  • Name of the transaction.
  • Potential (potential transaction amount in management accounting currency; currency cannot be changed) and the probability of successful completion of the transaction (in percentage). These values ​​can be calculated by the program based on the data available in the database. In our example, we enter it manually.
  • The client's primary interest is channel and source. (Read more about fixing primary interest in the article)
  • Transaction status. Possible statuses: “In progress”, “Won”, “Lost”. Until the deal is completed, we leave it “In progress.”
  • Type of transaction. This is a required requirement. You can choose from a directory of transaction types. In our example, we select the previously entered type “Sale of hoverboards (small wholesale)”, which has the type “Other non-process transactions”.

The ability to work with a specific transaction is determined by its type, or more precisely, by the type of transaction that is specified for this type.

On the “Participants” tab, you can specify partners - participants in the transaction, their contact persons and roles. Possible partner roles: “client”, “supplier”, “influencer”, “solver”. For a participant who is a client in this transaction, only the “client” role is available.

On the “Primary Demand” tab, you need to describe the client’s need.

If the “Fix primary demand” option is selected for the transaction type, then in the transaction form on the “Primary demand” tab it is mandatory to fill in at least one line.

Here you do not need to specify item items, but only enter a text description of the goods desired by the client. The estimated transaction amount is also entered here (you can select a currency).

The columns “Percentage of satisfaction” and “Reasons of dissatisfaction” are filled in after the transaction is completed.

Losing a deal

Let’s assume that the transaction did not take place because our organization did not have time to purchase the required product.

Let’s open a deal and set the status to “Lost” on the “Main” tab. Here we will select the reason for the loss (for our example – “We were unable to purchase the goods on time”).

The “Reasons for Losing Deals” directory is available on the CRM and Marketing settings and references page (CRM and Marketing / Settings and References). New reasons can be created in it.

On the “Primary Demand” tab, we will indicate the percentage of customer satisfaction (0%) and the reason for dissatisfaction (in our example, “The required assortment is missing”).

The “Reasons for Unsatisfied Demand” directory is also available in CRM and Marketing Settings and References (CRM and Marketing / Settings and References). It is possible to create new reasons.

Winning the deal

Let’s say that our organization purchased the necessary goods (hoverboards), the client contacted us again for a purchase, and the transaction took place.

In the transactions directory, we will create a new transaction with the same type as before (in our example - “Sale of hoverboards (small wholesale)”, with the type “Other non-process transactions”), with the same client and for the same amount.

On the “General Information” tab, select the transaction status: “Won”.

On the “Primary Demand” tab we will indicate the percentage of customer satisfaction (in our example – 100%).

Let's write a deal.

Sale by transaction

To register a sale for a transaction, we will use the entry mechanism based on.

In the transaction form, click “Create based on”. As you can see, on the basis of a transaction, it is possible to create various documents, including a certificate of completion of work, a customer order, and the sale of goods and services.

In our example, we will create a document “Sales of goods and services” based on the transaction. It will be partially filled in (the client and the agreement are indicated), all that remains is to enter the goods sold.

When creating documents based on a transaction, item items are not filled in, since specific goods are not indicated in the transaction form.

Let’s fill out the implementation document, then post it in the “Implemented” status.

After completing the sale, we will mark the transaction form as “Closed”. This means that all operations on the transaction have been completed.

Transaction reports

Analytical information on transactions is displayed in the corresponding CRM and marketing reports.

The Transaction Gross Profit report shows revenue, cost of goods, gross profit and profitability for each transaction in management accounting currency.

To correctly generate a report on gross profit on transactions, it is necessary to first perform a routine month closure.

The “Deal Performance” report reflects information about deals won, lost, and in progress.

Transactions with clients

To solve problems related to improving the quality of operational work of the sales department, transactions with clients are envisaged. Using transactions allows you to register all stages of working with a client (stages of the sales process), starting from the moment of registration of a potential client until the moment the goods are shipped to the client (successful completion of the transaction).

The transaction process is presented in the following diagram.

The passage of each stage of the sales process can be strictly controlled by the business process used, by the manager, or not controlled at all. Control of the stages of the sales process is determined by the type of transaction:

    Typical sale– allows you to control every stage of the sales process. For example, a manager will not be able to proceed to the stage of generating offers to a client if he has not classified the client, that is, has not determined the terms of sale under which the goods will be sold to the client,

  • Transactions with manual transition by stages– there is no strict control over each stage of the business process. The manager can move from one stage to another, skipping any of the stages.
  • Other non-process transactions– allows you to use transactions with customers without registering the stages of the sales process. Such transactions are typically used to record ongoing tasks and interactions within long-term projects.

A single sales organization can use different types of sales processes.

A transaction with a client is a flexible application solution tool that provides the following capabilities:

  • viewing a list of transaction documents,
  • registration of commercial proposals,
  • registration of terms of sale,
  • formation of orders to the supplier,
  • drawing up a work plan for the transaction,
  • registration of interactions.

Who must file a controlled transaction notification?

The list of criteria for classifying transactions as controlled is quite large; we will list the most common options:

    transactions between interdependent persons (we will describe who is included in them below);

    sale of goods by interdependent persons through an intermediary who does not invest any significant labor costs in the resale of goods (done to ensure that related parties do not escape control with the help of a third party);

    foreign trade transactions over 60 million rubles. for the sale of oil, its derivatives, as well as some other specific goods described in paragraph 5 of the same article (transactions with representative offices of these companies located in the Russian Federation are also classified as controlled);

    transactions worth more than 60 million rubles. with the participation of residents of offshore zones.

Signs of interdependence are described in paragraph 2 of Art. 105.1 of the Tax Code of the Russian Federation, the main ones among which are:

    the share of participation of a legal entity or individual in the authorized capital of the organization is more than 25% (the list of participants can be viewed by generating the SALT for account 80);

    there are closely related ties between individuals.

But even if your organizations are interdependent, this does not mean that you will definitely have to report to regulatory authorities. This obligation will arise in the following cases (the full list is indicated in paragraph 2 of Article 105.14 of the Tax Code of the Russian Federation):

    the amount of revenue for the year exceeded 1 billion rubles;

    transactions worth more than 60 million rubles, where one of the parties is a payer of mineral extraction tax;

    transactions worth more than 100 million rubles, where one of the parties applies the Unified Agricultural Tax and UTII regimes.

Notification of Controlled Transactions: Completing the Notification Assistant

Let's move on to the practical part and look at how to fill out a notification of controlled transactions using.

In the “Reports” tab there is a column “Controlled transactions”. It contains the “Notification Preparation Assistant” and, in fact, the “Notification of Controlled Transactions” itself. Having opened the assistant, we immediately understand the presence of interdependence. To do this, click “Create”, in the window that appears, select the counterparty and the start date of transactions. This will be the beginning of the year if on December 31st. your annual turnover with the supplier/customer exceeded 1 billion rubles; or a date other than 01/01 - indicated if you did not start working with the supplier/buyer from the beginning of the year. For example, you signed an agreement and delivered the goods on 04/05/2017, which means that the start date for transactions will be exactly this day. Next, we choose the type of interdependence or show that there is none.

Immediately below are the criteria characterizing the activities of our counterparty: we select those that relate to our supplier/buyer. Fill out everything - “Record and close.”

Information about your business partner will appear in the tab. If you had purchases/sales under a commission agreement, then you should select this item in the “Subject of transaction for commission” field; if you do not work under such an agreement, then do not fill in this field.

Next, we create a list of transactions by clicking on the field of the same name. If you had any other transactions that fit the criteria of controlled ones, then they need to be entered in the column “Inclusion of other transactions as controlled ones”: go to it, click “Create” and enter information on the transaction in the window that appears. For those who have no other transactions, ignore this column.

After this, we can view the list of controlled transactions. If you have had several thousand transactions in a year, then be prepared for the fact that it will take several minutes to form. We can then begin reviewing the data to prepare a controlled transaction notification. Open the link “Information about the organization” (it reflects our previously entered information), check its correctness, add if something is left blank (date, information about the mineral extraction tax or SEZ), then click “Record and close”.

Next, we look at information about interdependent persons (if any), open the item, click “Generate” and check the data for accuracy. Then we go to information about the counterparties of controlled transactions, generate a report, and all our contracts will appear in the “Agreement” field. In them you need to set the “Transaction name code”, “Method of determining the transaction price”, “Delivery conditions code” for foreign economic activity participants, and, if required, check the box for information about the unified agricultural tax and UTII.

If you have a large group of items involved in a controlled transaction, then “Information on the items of controlled transactions” will be somewhat difficult for you, since you need to indicate some details for each product item. Let's look at this in more detail. Follow the link to the specified item and generate a report for the convenience of filtering positions participating in controlled transactions. We go to the nomenclature card, expand the “Classification” link in it and enter the fields OKVED2, TN VED, OKPO.

It is also required to note if mineral extraction tax is applied. To do this, click opposite the item on the field “Subject to mineral extraction tax at the interest rate” and mark it with a tick. “Controlled transactions to be included in the notification” will generate a list of transactions for you; you do not need to fill in anything separately.

The next one, “Limits for including transactions in the notification,” will show you exactly the reason why you came under control. Next comes the item “One sheet 1B for...” the continuation of its name will depend on what you select in the tab. By clicking the link, you will be taken to the filling settings, where you will be asked to select the principle of forming sheet 1B. This sheet reflects data about the product: country of origin, price, place of sale, etc. If you have the same conditions for several transactions, you can combine them by selecting the appropriate item.

Next, select the place for submitting the declaration. After this, we fill out the notification and check it for errors. Let's go to the “Contents of the notification (sheets 1A and 1B)”, open it and for each transaction you need to indicate some data about it. We open a transaction, in the “Information about the transaction” tab, check that the “Grounds for classifying a transaction as controlled” and “Features of classifying a transaction as controlled” fields are checked (pulled from the data entered at the beginning of filling), then indicate “Transaction type” and “Transaction name code”, after which the “Transaction party code” will be filled in automatically; indicate “Method of determining the transaction price”. If there are any comments on clause 7 (the number of participants in the transaction), we will add them. But usually there are two participants and there is no need to fill it out. The “Transaction Amount” field is filled in automatically, as well as the subject of the transaction. In the “Sheet 1B” field, open the line and write down “Address of dispatch of goods” and “Address of transaction”, select the region code at the point of dispatch and completion of the transaction. This data must be specified in your agreement with the counterparty. If you are in doubt about the region code, it is better to check with the supplier/buyer. All data has been entered, recorded and closed. We analyze the notification. We proceed to completion, there are no errors, the notification of controlled transactions is ready. We upload it for sending. Here you should be careful, if you have a very large number of transactions (several thousand), then remember that for each transaction there are 2 sheets: A and B, and, accordingly, the size of the notification file will be large. We recommend checking that sending a “heavy” file from your PC went without problems.
